Orders taken, stock counted and reordered, trade customers served, without the double handling.

You need this if

Any of these is true of your week.

  • Orders arrive by phone, email and text and get retyped
  • You find out stock is short when a customer does
  • Trade customers ring for prices you already gave them

What is in this group

Stock and orders, service by service.

02

Wholesale trade portal

Trade orders without the phone tag.

A trade portal where wholesale customers log in, see their own prices, and place orders without a phone call or an email thread.

First moveI go through how trade orders arrive now, and what gets retyped between arriving and invoicing.

03

Order management

Every order, from every channel, in one queue.

A build that pulls orders from the phone, email, your store and the trade portal into one queue, then runs them through picking, packing, invoicing and tracking. One list, in the order things need doing, instead of four places to check.

First moveI follow ten real orders through your business, from arrival to delivered, and write down every hop.

04

Stock forecasting and reordering

Reorder points that know your lead times.

A build that counts stock as it moves, works out a reorder point for each line from its lead time and how fast it actually sells, and drafts the purchase order when a line crosses it. A person still approves and sends. Nothing is bought without you.

First moveI check the stock data is trustworthy first, because a forecast on bad counts is worse than none.

How they fit together

The order the work goes in.

Nothing here has to be bought at once. This is the sequence I would build it in, and it is the sequence your free plan puts it in.

  1. 01

    Inventory management and projects

Stock you cannot see is money you cannot use. Overordering, stockouts and lost jobs are all the same problem: nobody trusts the numbers.

  2. 02

    Wholesale trade portal

Every phoned-in order gets retyped at least once, and retyping is where the errors and the hours go. Stockists also reorder more when reordering takes a minute.

  3. 03

    Order management

Orders retyped between channels is where the errors live. One queue means an order is entered once and everybody is looking at the same thing.

  4. 04

    Stock forecasting and reordering

Ordering by feel produces both problems at once: money sitting in stock that will not move, and a stockout on the line that pays the bills.

What people get wrong

What I hear most, and what is actually true.

They sayOur stocktake once a year is enough.

It tells you what you had in March. Every decision between stocktakes is made on a number nobody trusts, which is why the overordering and the stockouts happen in the same month.

Inventory management and projects

They sayOur stockists are not the type to use a website.

They use one to bank and one to order their own supplies. What they will not use is a portal that takes longer than the phone call, which is why the reorder is two clicks.

Wholesale trade portal

They sayWe need an online store first.

No. The queue takes orders phoned in, emailed and written on a pad, and the store or the trade portal simply feed it too if you have them.

Order management

They sayForecasting needs years of clean data.

It needs a few months of movement and honest lead times. The early forecast is rough, it improves every month, and it is better than memory from week one.

Straight answers

One question from each service.

01We manage this on a spreadsheet.

Most businesses do, right up until two people edit it at once. The build replaces it with one source of truth the whole team can use at the same time.

02Our stockists like ordering by phone.

They like reordering in one minute more. The phone stays available; the portal just makes the usual order the easy one, priced correctly every time.

03Can orders still be taken over the phone?

Yes. A phone order is typed into the same queue and gets the same picking, invoicing and tracking. The queue is about where orders end up, not how they arrive.

04Does it order without asking?

No. It drafts the purchase order and holds it. A person approves and sends, every time, in every tier.

The next move

Tell me what the week looks like and I will put these in order.

The free plan asks a few questions about the business, then comes back with the services that fit, the order to build them in, and the figure for each one. Nothing is charged and nothing is booked at the end of it.
