Quote and invoice automation

Quotes that follow themselves up. Invoices that chase themselves.

A build that takes the quote from your first reply to the job in the calendar and the invoice paid, without anyone retyping it. Quotes go out from a template with your prices, follow up on a schedule until they are answered, and become an invoice in Xero the day the job is done.

01

What it is

A build that takes the quote from your first reply to the job in the calendar and the invoice paid, without anyone retyping it. Quotes go out from a template with your prices, follow up on a schedule until they are answered, and become an invoice in Xero the day the job is done.

A quote that is followed up three times wins more often than a quote sent once, and nobody in a busy business follows up three times by hand. The system does, politely, on a schedule, and stops the moment the customer answers. That alone pays for the build.

Invoicing late is a loan you give every customer. When the invoice is raised the day the job closes and chased on day seven and day fourteen, cash arrives sooner and nobody has to make the awkward call.

02

This is for you if

  • Quotes go out and you never hear back, and nobody chases them
  • Invoices are raised days after the job because someone has to sit down and do it
  • The same quote gets typed into three places
  • You are thinking of hiring someone to keep on top of the paperwork

One of these is usually enough. If none of them is true, this is not the first thing I would build for you, and the plan will say so.

03

Why it comes where it does

Most lost jobs are not lost to a competitor. They are lost to a quote nobody chased. The follow-up is the cheapest revenue in the business and the first thing to hand to a system.

Nothing has to be built before this one, so it can be the first thing you do. Your free plan still puts it in order against everything else you are considering.

04

Three sizes, by scope

The sizes differ by how much is in them, not by how well it is done. Start at the size that matches the business today; moving up later is normal.

The Essentials

Quotes followed up. Nothing else changes.

  • Quote template with your prices
  • Three follow-ups on a schedule
  • Stops on reply
  • Written documentation

One week

The usual choice

The Standard

Quote to invoice, end to end. Most businesses choose this.

Everything in the size before, plus:

  • Accepted quote becomes a Xero invoice
  • Invoice reminders on day seven and fourteen
  • A screen showing every open quote
  • Training for whoever sends quotes

Two weeks

The Works

The whole job, from enquiry to paid.

Everything in the size before, plus:

  • Enquiry form feeds the quote
  • Deposit link on acceptance
  • Job in the calendar on acceptance
  • Monthly report of quotes sent, won and lost

Four weeks

The figure for each of the three sizes is not published here, because it depends on what else you are building at the same time. Build your free plan and the figure for each size comes back with it, along with what the whole job costs together.

05

How it is built

  1. 01

I map how a quote happens now, from the first message to the money landing.

  2. 02

Templates for the quote, the follow-ups and the invoice reminder, in your words and with your prices.

  3. 03

The build: quote form, follow-up schedule, Xero connection, reminders.

  4. 04

A week running beside the old way, then the old way stops.

  5. 05

Written documentation and a short session with whoever sends quotes.

Before you decide

Three things people get wrong.

They sayCustomers hate automated follow-ups.

They hate silence. A short, plain follow-up from your name, sent on a sensible schedule, reads as organised. It stops the moment they reply.

They sayXero already does this.

Xero sends invoice reminders. It does not send the quote, chase the quote, or turn the accepted quote into the job. That is the gap this build closes.

They sayWe need a CRM first.

No. This works from a spreadsheet, a form or your inbox. A CRM is a later step, and this build feeds one when you get there.

Your options

The alternatives, side by side.

Doing it yourself and hiring it out are both real answers. Here is how the three compare on the things that actually decide it.

In practice

Three follow-ups nobody sends

Quotes sent from one screen, three automatic follow-ups over ten days, accepted quotes turned into Xero invoices, and a reminder seven days after due. The person who used to do this gets Friday afternoon back.

Straight answers

Questions I get asked about this.

01Does it work with Xero?

Yes. Accepted quotes become Xero invoices, and paid invoices stop the reminders. MYOB is possible and scoped on the call.

02Can I still write a quote by hand?

Yes. The follow-ups and the invoice still run from it. The template is the fast path, not the only path.

03How many follow-ups?

Three is the default, over ten days. You set the words and the gaps, and they stop the moment the customer answers.

04What if a customer replies to a follow-up?

The reply lands in your inbox like any other email, and the schedule for that quote stops.

The next move

Quote and invoice automation, priced in context.

The free plan asks a few questions about the business, then comes back with this service at the size that fits, anything that has to come first, and the figure for each part and for the whole job. Nothing is charged and nothing is booked at the end of it.
